JOB TITLE:ADMINISTRATIVE ASSISTANT(Remote, Part Time)

1.POSITION SUMMARY – OVERVIEW
We are looking for a multi-skilled Administrative Assistant, who is proficient in the use of technology to perform a variety of administrative functions. Duties of the Administrative Assistant include providing virtual and actual support to the Executive Director and the Executive Council of OOCUR, performing ongoing office duties, and managing the organisation’s general administrative activities.
What does an Administrative Assistant do?
The successful Administrative Assistant should,demonstrate the ability to ensure the efficient and smooth operation of the Secretariat, and be able to fulfil the responsibilities and possess the qualifications identified,hereunder.
Responsibilities
• Organise and schedule appointments
• Manage the timetable and schedule of the Executive Director
• Plan meetings, take and present detailed minutes
• Issue Invoices to members for Annual Membership fees
• Write and distribute email, and other correspondence
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system

• Maintain contact lists
• Book travel arrangements
• Reconcile expense reports and follow up after any travel by the ED
• Provide general support to host of Annual Conference
• Act as the point of contact for internal and external clients
• Liaise with executive and senior administrative assistants at regional regulatory agencies and international partners
• Design material for posting to website and social media
• Coordinate the updating and posting of material on the website and social media
Requirements and skills
• Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
• Knowledge of office management systems and procedures
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) or their equivalents
• Working knowledge of websites and social media
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem–solving skills
• Excellent written and verbal communication skills
• Strong organisational skills with the ability to multi-task
• A professional secretarial qualification or any other relevant qualification (CXC English, Maths, PoB, PoA, Computer Science or Administrative Assistantdiploma etc.) with at least 3 years’ experience in a similar capacity.
